Families download the app and place lunch orders from local restaurants. Schools can create filters for grades and homerooms, view daily and weekly orders, and track everything from a single dashboard.

Parents manage orders directly in the app, while restaurants prepare and deliver meals. Buy My Lunch handles payments and balances, reducing administrative work for school staff.

Maya also explains that schools earn revenue from participation and that the same system can be used for sports programs, clubs, and weekend events.

Account setup

Get your foundation right.

  1. Download the Buy My Lunch app or log in on the website.
  2. Go to Settings Account and add the school administrator or primary business contact.
  3. Go to Settings Public Profile.
  4. Add full school information, including delivery address.
  5. Set meal arrival time.
  6. Select delivery days.
  7. Go to Settings Delivery Contact and add the point person for deliveries, missed orders, and incorrect orders.
  8. Press Save before leaving any page. Every time.

Then everything else moves fast.

Filters & class rosters

Meals land where they should.

  1. Create grades and homerooms in Filters.
  2. Example: Kindergarten 1 Mrs. Smith Grade 3 Mr. Sykes.
  3. Add a Staff filter if faculty orders lunch too.
  4. Parents assign students during signup.
  5. Keep filters updated when classes shift.
  6. New school year? Parents update grade info in the app.

Clean rosters keep lunch moving.

Students

Organized kids. Smoother handoffs.

  1. Review your student roster in the Students tab.
  2. Students stay organized by grade and homeroom.
  3. Every student gets a unique Buyer ID.
  4. Buyer IDs help meals land in the right hands.
  5. Restaurants never see student names outside the app.

Buyer ID sounds boring.
Operationally, it's a beast.

Restaurants

Right food. Right day.

  1. Move restaurants from Available to Active.
  2. Assign delivery days in the calendar.
  3. Hit Save. Lunch now has a schedule.
  4. Smaller schools? One restaurant per day usually does the trick.
  5. Bigger volume? Add more restaurants to spread the load.
  6. Review expected meal counts during onboarding.

Too many meals. Not enough planning.
That's how cafeterias become traffic jams.

Orders & delivery

Know what's
coming before
it shows up.

  1. Use the Home tab to track today's and this week's orders.
  2. Make sure your Delivery Contact is ready for handoff.
  3. Mark orders as Received so everyone stays in sync.
  4. Restaurants mark orders Out for Delivery before leaving.
  5. Orders close at noon the day before delivery. No surprise burritos at 10pm.

The cutoff keeps restaurants, schools, and parents working from the same playbook.

Meal distribution

Fast. Accurate. No chaos.

  1. Use Home Orders view to distribute meals.
  2. Verify by student name, Buyer ID, homeroom, and meal type.
  3. After distribution, mark Orders Complete so parents and Buy My Lunch are notified.
  4. If something is off, the Delivery Contact marks Dispute in the app.
  5. Provide frozen backup meals if needed.

Packaging standards

  • Utensils and condiments included.
  • Condiments on the side.
  • No drinks provided.
  • Every meal individually packaged and labeled with Buyer ID.

Distribution works best when the app is treated as the source of truth.

Can we use Buy My Lunch for more than just school lunch?

Absolutely. Schools use the same system for afterschool programs, clubs, athletics, staff lunches, and special events.
